Tutorial 1, April 2001 - Using Word to Manage Bulk E-mailing

Step 2. Create the Body of Your E-mail 

Once you have your list of customer details you are ready to create the body of your e-mail.

This is pretty straight forward. Open a new Word document and save it. Write the body of your e-mail without worrying about subjects, etc. I suggest keeping the letter pretty plain, i.e., no formatting. Some e-mail programs understand formatting and some don't. It can get pretty messy. So, if you want to emphasise anything, use line spacing or surround key words and phrases with asterisks "*".

Here's the e-mail body that our fictional company "Super Stationery" wrote. I've noted places where I will add personalised information about the sender by capitalising and surrounding by brackets "[ ]". This information will come from our customer details:


Hi [FIRST NAME]

Just a quick note to let you know about Super Stationery’s *amazing special offer* on specialty paper.

As a previous buyer from our huge range of specialty paper, [COMPANY NAME] knows that using special papers can make your business letters stand out form the crowd. So the extra price is worth it because you know your correspondence is more likely to be read rather than put aside (or worse, thrown in the bin!)

And right now, for orders placed in the month of August, 2001, we’re offering [COMPANY NAME] a *buy three get one free* offer!

That’s right! Order 3 specialty papers from our huge range and you can select a fourth (up to the average value of the first three) absolutely free! (while stocks last)

Our usual shipping rates apply.

So [FIRST NAME] feel free to call, e-mail or fax through your orders.
